How Small Business Owners Can Advance Their Business


We sat down with our expert Implementation Specialist, Donna Knight, who has been with One Step Retail Solutions for just under 16 years. She has ample experience providing computer software and hardware support for over eighteen years with thirteen of those years focusing on retail based companies. She has assisted retailers with growing their business by answering any technical questions while offering training and support. We asked Donna a few key questions about the challenges small businesses face and how these businesses can successfully advance their retail stores!

What are some of the main challenges facing small business owners as they grow?
As businesses grow, owners find staffing to be one of their main problems. Having excessive or not enough sales staff can be problematic, but it’s a problem that can be fixed with the right retail technology tools. Having traffic counters and running reports that show sales by the hour, will allow retailers to see what areas need to be improved. These tactics allow owners to maximize staff so that they have more staff in the store on the days and at the times when there is high traffic and sales volume. I have shopped in plenty of stores where I was one of the few customers and I got swarmed by multiple sales people. This is a perfect example of overstaffing, which wastes unnecessary money and resources while providing a negative customer experience.

Another problem for owners, is having an outdated point of sale system that is constantly adding unnecessary features and only improving its existing capabilities. It’s very important to choose a point of sale system developed by a company that is always releasing updates to its software so retailers can stay current with the times. Updates that come from customer requests are an indicator a software company cares and is striving to be the top inventory management system.

What recommendations do you make for clients that want more of your products and software, but don’t have a great credit score to get the funding they may need to acquire it?

On the personal side, I recommend creditkarma.com (which is free) to business users, but my personal experience has been that since I started tracking my credit score with this site, my credit score increased so much that I’m constantly getting credit card offers that I have to turn down. Another service I recommend is using one of Experian’s low cost credit tracking and alert systems, which lets you know about changes on your credit report. I’ve used both of these services and together they helped my credit score increase to the 700s. While the lending requirements of traditional banks focus solely on the credit score, there are options available for new businesses that are showing profit and building their score, but have some difficulty qualifying for a standard bank loan. Small business loans from alternative lenders like Kabbage can be worth exploring if you fit into this category.


What is something that would help owners and their business thrive?
One thing retailers don’t always pay attention to is using their billable services wisely. When you’re paying for hourly services, it’s vital you or your staff show up for appointments. It is very common these days for many businesses to charge for no-shows or last minute cancellations, so whole staff should be aware of these policies to avoid unnecessary expenditures. Otherwise, retailers could get charged for the appointment time without receiving any benefits.

When retailers have an appointment for billable services with a consultant, they should have questions or points of discussion written down ahead of time, this will allow the owner to be organized and use the billable time most efficiently and effectively. Also, when receiving training on a new program or system, be sure to take notes! I can’t stress this enough. While some computer programs are more user-friendly than others, retailers should not assume they can memorize how to use the program by just watching someone else do it one time. Also, make sure to ask questions during the training session. Sometimes, people might think they have the functionality down when it comes to a new system, but it’s important to ask questions and take notes for future reference.

Following the training, practice what has been learned since that is the only way to make it stick. Learners don’t really own the knowledge gained from a trainer without practice until the task can be easily completed. Another great training tip is to take notes of any weak points while practicing and revisit with the trainer. Of course, learning how to use an inventory management system is not as complicated as learning algebra or college biology, but the same techniques that allowed learning in high school can be applied to learning software programs.  In order for software to pay for itself, retailers must optimize use of it by learning how to use all of the features that will benefit the business. Otherwise, point of sale system is just a very expensive cash register.

2. Gift Cards and Loyalty Programs

What - Structured marketing efforts that reward, and therefore encourage, loyal buying behavior.

  • People will tend to buy full priced items with gift cards increasing your profit margins.
  • Customers who purchase goods with gift cards are much less likely to return or exchange an item saving on transaction costs.

Over $100 billion is spent on gift cards annually with a staggering ninety-three percent of U.S. consumers purchasing or receiving a gift card annually.
At fifty-eight percent, over half of consumers still purchase gift cards at in-house retailers and mall kiosks - compared to forty-two percent of consumers who purchase gift cards online.
Seventy-two percent of customers will spend about twenty percent more at your store than the value of their gift card.
Twenty percent of customers never use the full value of the card - the remaining balance is revenue for your business.

3. Mobile Point of Sales Systems

Retail Technology Boom Pitfalls

We are currently in an age where technology is advancing lightening fast, making it hard for even the most invested users to keep up. This new atmosphere causes some innate pitfalls retailers must keep an eye out for. 

 

Newbies Remorse
When a new trend crops up in technology, the market place will become cluttered with options and fly-by-night companies trying to cash in on the hot topic. New companies have their instability issues; companies that are venturing into new industries or products will also have instability issues.

These are the kinds of situations where you must be increasingly conservative and get as many facts as possible. Talk to a few of their existing customers and really get a feel for what to expect: customer service, hidden fees, capabilities, etc.

 

Jack of All Trades 
While a very knowledgeable, expert software developer or systems engineer may be able to "create anything", that doesn't mean they should. Proper research and development, industry knowledge and experience are very important parts to evolving any product and ensuring ultimate functionality.
Many companies that seem to be a "Jack of all trades" end up being a diluted version of each specialty with one or two strong suits.
Point of Sale can be broken down into more than just ringing up sales and should include minimally inventory control and reporting features.

Don't allow yourself to be on a diluted or watered down product just because the company is a knock-out in another industry. 
 
Minimal Effort Junkies 




Technology and software are important RESOURCES. If you start any upgrade or technology search from the perspective of getting a tool that will do as much as possible for you and your company’s expansion, you will strip off much of the anxiety or hesitance. Thus, opening the door to thoroughly investigating your resources and setting yourself up for maximum payoff.
 





 Save Now, Pay Later

I could say "you get what you pay for" but we all know that.
We will forever hunt for the best bargain and the maximum bang for our buck. 
Unfortunately, certain technology developers claim to do it all for pocket change. When push comes to shove, it'll be YOU that suffers in the end.

If something is too good to be true, it probably is.

Point of Sale is typically designed for a particular kind of retailer; this is determined by sales volume, item count, number of locations and business structure.

While it is tempting to get in on a particular feature or fit within a tight budget you must ensure you are not essentially shoving your size 12 company into a size 8 shoe. It'll hurt and you'll have no room to move around... much less expand. 






But IT'S SO SHINY!

Looks aren't everything. While I sincerely understand "the clothes make the man", that concept only runs so deep. Make sure you are getting an interface that fits your needs and is functional, but don't miss the point of the software just because it's easy on the eyes.

Retail Crime of the Future - Served with a Drink and Chips

News broke late last year about a “retail crime of the future”. Dating back to at least 2008, a small group of Romanian hackers have allegedly stolen credit card information through the POS systems of hundreds of small American businesses, adding up to more than 3 million dollars in fraudulent charges. The investigation is still pending, but the most serious attack was targeted at Subway franchises with at least 150 of their locations reportedly compromised. The 4 suspects are in custody, per the most recent reports.

The method of attack appears to be targeting certain POS “holes” through an essentially wide-open back door; a Trojan virus was then installed to give them ongoing easy access. As per the PCI Security Standards Council, those who process credit and debt payments must have a two-factor authentication for remote access to a POS system. Not having this security measure in place is where these particular businesses and franchises appear to have gone wrong.

In this digital age it is vital that retailers protect their customers by being fully PCI compliant and establishing layered security measures. PCI goals include “Build and Maintain a Secure Network” and “Implement Strong Access Control Measures” with some of the exact PCI requirements reading as follows:

“1. Install and maintain a firewall configuration to protect cardholder data…'
“10. Track and monitor all access to network resources and cardholder data.”

Did you know that reports show 56% of U.S. small businesses have experienced data breaches and 33% of all data breaches were directed at businesses with 100 employees or fewer? “The Subway credit card hack is unfortunately news that may happen with greater frequency.” says a FindLaw article about the recent 2008 to May 2011 hacks.
